Our Commitment to Safe, Responsible and Professional AI Use
We use Artificial Intelligence (AI) tools to support efficiency and quality in our regulated engineering and consulting environment. These tools assist our teams with routine tasks but never replace qualified professional judgement. All deliverables remain fully reviewed, verified, and approved by experienced engineers/managers.
How We Use AI
We use AI in controlled, low-risk administrative ways to improve productivity, including:
- Drafting and formatting documents
- Summarising meetings and notes
- Supporting internal research and knowledge retrieval
- Automating repetitive administrative tasks
- Assisting with coding and internal tool development
AI acts only as an assistant – not a designer, decision-maker, or technical authority.
How We Do Not Use AI
To protect quality and safety, we do not use AI for:
- Final engineering calculations or safety-critical outputs
- Design decisions or technical interpretations
- Sealed, certified, or regulatory deliverables
- Uploading sensitive client data into public AI tools
- Replacing professional engineering judgement
All technical work is completed and verified by qualified staff following our standard checking and approval procedures in line with our Integrated Management System (IMS) procedures IMS-PRO-020 – Project Delivery and IMS-PRO-021 – Project Document Control
Protection of Client Data
Your data is treated with the highest level of confidentiality. We ensure:
- Only approved, secure AI tools are used
- No sensitive client data is entered into the public domain or non-compliant AI systems
- Your information is never used to train AI models
- Access to AI tools is controlled, monitored, and logged
- All AI use aligns with our ISO-aligned Information Security Management System
Your information stays private, protected, and under our control.
Quality and Accuracy
Every AI-assisted output is reviewed by qualified professionals. We verify:
- Accuracy and completeness
- Compliance with standards and regulations
- Alignment with project requirements
- Correctness of references, assumptions, and terminology
AI supports our workflow, but humans remain fully accountable for all deliverables.
Governance and Compliance
Our AI use is governed by a formal internal policy which is aligned to the principles of the following:
- ISO 9001 (Quality Management)
- ISO 27001 (Information Security)
- ISO 31000 (Risk Management)
- ISO 44001 (Collaborative Business Relationships)
We maintain structured oversight, regular audit reviews, and periodic monitoring to ensure safe and compliant use of AI technologies.
Executive oversight is maintained at Board level, with operational governance managed through HSQE and IT.
AI Agents
Where advanced AI systems, including autonomous agents, are utilised, these are subject to enhanced governance controls. Access is strictly limited, human oversight is maintained for all significant actions, and safeguards are implemented to ensure that no uncontrolled or unauthorised interaction with company systems or client data can occur.
